Conference Terms and Conditions
These terms and conditions apply to all delegates, speakers, and attendees of Next Generation Medicine Congress 2026 ("the Congress"), organised by AEON Clinic ("the Organiser").
By registering for or attending the Congress, you agree to be bound by these Terms and Conditions.
1. Registration and Payments
- All registrations must be completed through the official Congress website or designated registration channels. Registration is confirmed only upon receipt of full payment.
- All prices are quoted in USD unless otherwise stated and are inclusive of VAT where applicable.
- Registration fees include access to all Congress sessions, exhibition areas, Congress materials, refreshments, and networking events, as specified in the registration package.
- The Organiser reserves the right to refuse registration at its sole discretion.
2. Cancellation and Refund Policy

All cancellation requests must be submitted in writing to events@theaeonclinic.com. Refund eligibility will be determined based on the date and time the written cancellation request is received by the Organiser.
1. Standard Registration Cancellation and Refunds
For delegates who have purchased tickets at the standard registration rate, the following cancellation terms apply:
- More than 60 days before the Congress: Full refund, less a fixed USD 100 processing and administrative fee.
- 60 days or less, but more than 48 hours before the Congress: A 50% cancellation fee applies, and delegates will be eligible for a 50% refund of the registration fee paid, less the fixed USD 100 processing and administrative fee.
- 48 hours or less before the Congress: Registrations are strictly non-refundable.
2. Group Registrations, Early Bird and Discounted Tickets
Registrations purchased under group booking offers, Early Bird rates, promotional campaigns, preferential partner rates, or any other discounted pricing arrangements are subject to the following refund conditions:
- More than 48 hours before the Congress: A 50% cancellation fee applies, and delegates will be eligible for a 50% refund of the actual discounted registration fee paid, less the fixed USD 100 processing and administrative fee.
- 48 hours or less before the Congress: Registrations are strictly non-refundable.
Group registrations, Early Bird tickets, and discounted registrations are not eligible for a full refund under delegate-initiated cancellation circumstances, regardless of the cancellation date.
3. Non-Attendance
Non-attendance without prior written cancellation will not entitle the delegate to any refund.
Failure to attend the Congress, whether in full or in part, does not qualify for a refund once the applicable cancellation deadline has passed.
4. Cancellation or Postponement by the Organiser
The Organiser reserves the right to cancel or postpone the Congress due to circumstances beyond its reasonable control, including but not limited to acts of God, war, terrorism, civil unrest, pandemics, government restrictions, venue unavailability, or insufficient registrations.
In the event of cancellation by the Organiser, delegates will be offered a full refund of the registration fees paid or the option to transfer their registration to a rescheduled event.
The Organiser shall not be liable for any other costs incurred by delegates, including but not limited to travel, accommodation, visa fees, or other related expenses, to the extent permitted by applicable law.
5. Exceptional Circumstances
Refund requests arising from exceptional circumstances may be considered at the Organiser's discretion, including but not limited to:
- Official travel bans or government-imposed travel restrictions.
- Significant regional disruptions affecting travel.
- Natural disasters or other force majeure circumstances.
All approved cancellations under exceptional circumstances will follow the same cancellation timelines, refund percentages, and administrative fees applicable to the respective registration category:
Standard Registrations:

Group Registrations, Early Bird and Discounted Tickets:
- More than 48 hours before the Congress: A 50% cancellation fee applies, with delegates eligible for a 50% refund of the actual discounted registration fee paid, less the fixed USD 100 processing and administrative fee.
- 48 hours or less before the Congress: Registrations are strictly non-refundable.
All exceptional refund requests must be submitted in writing with relevant supporting documentation and will be reviewed individually by the Organiser.
6. Refund Processing and Administrative Fees
All approved delegate-initiated refunds, including those relating to standard, group, Early Bird, promotional, and discounted registrations, will be subject to a fixed USD 100 processing and administrative fee, deducted from the refundable amount.
This fee is applied once per refunded registration, in addition to any applicable percentage-based cancellation fee specified in this policy.
The total deductions shall not exceed the registration fee paid, and no additional payment will be required from the delegate if the applicable deductions exceed the refundable amount.
Refunds will be processed through the original registration and payment platform, where applicable, and returned to the original payment method, subject to the payment provider's processing timelines.
7. General Conditions
- All cancellation and refund requests must be submitted in writing to events@theaeonclinic.com.
- Refunds will be calculated based on the actual registration fee paid, excluding any complimentary benefits or promotional value.
- Refund eligibility will be determined based on the date and time the written cancellation request is received by the Organiser.
- The cancellation timelines are calculated from the scheduled commencement of the Congress on 7 November 2026, using Dubai local time (GST, UTC+4).
- Registration fees are non-refundable within 48 hours of the Congress commencement, regardless of ticket category or reason for cancellation, except where otherwise required by applicable law or where the Organiser cancels the Congress.
- The Organiser reserves the right to review refund requests and request supporting documentation where necessary.
- All refunds are subject to applicable laws and regulations of the United Arab Emirates.
3. Programme Changes
- The Organiser reserves the right to alter the Congress programme, speakers, timing, venue, or content at any time without prior notice.
- The Organiser shall not be liable for any changes to the programme.
- In the event of speaker cancellation, the Organiser will use reasonable endeavours to find a suitable replacement but cannot guarantee equivalent content.
4. Delegate Conduct
- All delegates are expected to conduct themselves in a professional manner throughout the Congress.
- The Organiser reserves the right to refuse admission or remove any delegate whose behaviour is deemed inappropriate, disruptive, or in breach of these Terms and Conditions, without refund.
- Delegates must comply with all venue rules and regulations.
- Delegates must wear their official Congress badge at all times during the event.
5. Intellectual Property
- All intellectual property rights in Congress materials, presentations, recordings, and content remain the property of the Organiser or the respective speakers and are protected by copyright.
- Delegates may not record, photograph, livestream, or broadcast any Congress sessions without prior written consent from the Organiser.
- Delegates may not reproduce, distribute, or publish any Congress materials without prior written consent.
6. Photography and Filming
- The Organiser may arrange for photography and filming during the Congress for promotional and archival purposes.
- By attending the Congress, delegates consent to being photographed or filmed and to the use of such images and recordings by the Organiser for marketing, promotional, and educational purposes.
- Delegates who do not wish to be photographed or filmed must notify the Organiser in writing before the event.
7. Data Protection
Personal data collected during registration will be processed in accordance with the Organiser's Privacy Policy.
8. Liability
- The Organiser shall not be liable for any loss, injury, or damage to any person or property, howsoever caused, except where such liability cannot be excluded by law.
- The Organiser shall not be liable for any indirect, consequential, or special damages arising from attendance at the Congress.
- Delegates are responsible for arranging their own travel and accommodation and for obtaining appropriate travel and health insurance.
- The Organiser shall not be liable for any loss or theft of personal belongings during the Congress.
- The views expressed by speakers are their own and do not necessarily represent those of the Organiser. The Organiser accepts no responsibility for the accuracy or content of any presentation.
9. Medical and Health
- Delegates attend the Congress at their own risk and are responsible for their own health and wellbeing.
- The Organiser will implement health and safety measures in accordance with local regulations or venue requirements. Delegates agree to comply with any such measures.
10. CME Accreditation
- CME credits are subject to the accreditation requirements of the relevant accrediting bodies.
- Delegates seeking CME credits must attend the required sessions and complete all necessary documentation.
11. Sponsors and Exhibitors
The Organiser is not responsible for any products, services, or claims made by sponsors or exhibitors.
12. Force Majeure
- The Organiser shall not be liable for any failure or delay in performing its obligations where such failure or delay results from circumstances beyond its reasonable control, including but not limited to natural disasters, acts of government, war, terrorism, civil unrest, pandemics, epidemics, travel restrictions, strikes, or failure of third-party services.
- In the event of force majeure, the Organiser may postpone, relocate, or cancel the Congress without liability beyond the refund of registration fees.
13. Governing Law
- These Terms and Conditions are governed by and construed in accordance with the laws of the United Arab Emirates.
- Any disputes arising from these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of Dubai.
