Conference Terms and Conditions

These terms and conditions apply to all delegates, speakers, and attendees of the Next-Generation Medicine Congress 2026 ("the Congress"), organised by AEON Clinic ("the Organiser").

By registering for or attending the Congress, you agree to be bound by these terms and conditions.

  1. Registration and Payments
    1. All registrations must be completed through the official Congress website or designated registration channels.
    2. Registration is confirmed only upon receipt of full payment.
    3. All prices are quoted in USD unless otherwise stated and are inclusive of VAT where applicable.
    4. Registration fees include access to all Congress sessions, exhibition areas, Congress materials, refreshments, and networking events as specified in the registration package
    5. The Organiser reserves the right to refuse registration at its sole discretion.
  2.  Cancellation and Refund Policy
    1. Cancellations must be submitted in writing to events@theaeonclinic.com.
    2. Cancellation refunds:
      1. More than 60 days before the Congress: Full refund less 15% administration fee
      2. 30 to 60 days before the Congress: 50% refund
      3. Less than 30 days before the Congress: No refund
    3. Non-attendance without prior written cancellation will not entitle the delegate to any refund.
    4. The Organiser reserves the right to cancel or postpone the Congress due to circumstances beyond its reasonable control, including but not limited to acts of God, war, terrorism, civil unrest, pandemic, government restrictions, venue unavailability, or insufficient registrations.
    5. In the event of cancellation by the Organiser, delegates will be offered a full refund or the option to transfer their registration to a rescheduled event. The Organiser shall not be liable for any other costs incurred by delegates, including but not limited to travel and accommodation expenses
  3. Programme Changes
    1. The Organiser reserves the right to alter the Congress programme, speakers, timing, venue, or content at any time without prior notice.
    2. The Organiser shall not be liable for any changes to the programme.
    3. In the event of speaker cancellation, the Organiser will use reasonable endeavours to find a suitable replacement but cannot guarantee equivalent content.
  4. Delegate Conduct
    1. All delegates are expected to conduct themselves in a professional manner throughout the Congress.
    2. The Organiser reserves the right to refuse admission or remove any delegate whose behavior is deemed inappropriate, disruptive or in breach of these terms, without refund.
    3. Delegates must comply with all venue rules and regulations.
    4. Delegates must wear their official Congress badge at all times during the event.
  5. Intellectual Property
    1. All intellectual property rights in Congress materials, presentations, recordings, and content remain the property of the Organiser or the respective speakers and are protected by copyright.
    2. Delegates may not record, photograph, livestream or broadcast any Congress sessions without prior written consent from the Organiser.
    3. Delegates may not reproduce, distribute, or publish any Congress materials without prior written consent.
  6. Photography and Filming
    1. The Organiser may arrange for photography and filming during the Congress for promotional and archival purposes.
    2. By attending the Congress, you consent to being photographed or filmed and to the use of such images and recordings by the Organiser for marketing, promotional, and educational purposes.
    3. If you do not wish to be photographed or filmed, please notify the Organiser in writing prior to the event.
  7. Data Protection
    1. Personal data collected during registration will be processed in accordance with our Privacy Policy.
  8. Liability
    1. The Organiser shall not be liable for any loss, injury or damage to any person or property howsoever caused, except where such liability cannot be excluded by law.
    2. The Organiser shall not be liable for any indirect, consequential, or special damages arising from attendance at the Congress.
    3. Delegates are responsible for arranging their own travel and accommodation and for obtaining appropriate travel and health insurance.
    4. The Organiser shall not be liable for any loss or theft of personal belongings during the Congress.
    5. The views expressed by speakers are their own and do not necessarily represent those of the Organiser. The Organiser accepts no responsibility for the accuracy or content of any presentation.
  9. Medical and Health
    1. Delegates attend the Congress at their own risk and are responsible for their own health and wellbeing.
    2. The Organiser will implement health and safety measures in accordance with local regulations or venue requirements. Delegates agree to comply with any such measures.
  10. CME Accreditation
    1. CME credits are subject to the accreditation requirements of the relevant accrediting bodies.
    2. Delegates seeking CME credits must attend the required sessions and complete all necessary documentation.
  11. Sponsors and Exhibitors
    1. The Organiser is not responsible for any products, services or claims made by sponsors or exhibitors.
  12. Force Majeure
    1. The Organiser shall not be liable for any failure or delay in performing its obligations where such failure or delay results from circumstances beyond its reasonable control, including but not limited to: natural disasters, acts of government, war, terrorism, civil unrest, pandemic, epidemic, travel restrictions, strikes, or failure of third-party services.
    2. In the event of force majeure, the Organiser may postpone, relocate, or cancel the Congress without liability beyond the refund of registration fees.
  13. Governing Law
    1. These terms and conditions are governed by and construed in accordance with the laws of the United Arab Emirates.
    2. Any disputes arising from these terms and conditions shall be subject to the exclusive jurisdiction of the courts of Dubai.
